Efficient debt collection for Microsoft Dynamics 365 Business Central users

Microsoft Dynamics 365 Business Central is the successor to Microsoft's popular Navision, NAV and C5. In other words, Business Central builds on over 30 years of experience with ERP and accounting programs.

The difference from Navision to Business Central, for example, is significant in many ways - but the system still contains many familiar functions, shortcuts and options.

We see that many companies are currently upgrading from Navision/NAV and C5 to Microsoft Dynamics 365 Business Central.

Today, almost 2 million people use the popular ERP system. That's why we've created a guide on how you can use Business Central for debt collection - and quickly transfer files from your ERP system to a debt collection company.

Debt collection starts with an unpaid invoice

To set up a debt collection case with a lawyer or debt collection agency, you will always be asked for proof of your claim.

In the case of a debt, it will typically be a promissory note. However, if it's a purchase between two parties, an invoice will typically be requested. Invoices are the classic basis for a debt collection case - and what the vast majority of cases are based on.

An invoice documents in the best possible way:

  1. Who the debtor is
  2. What the debtor has purchased
  3. How much the debtor has purchased and when

Debt collection in Microsoft Dynamics 365 Business Central - here's how

Microsoft Dynamics 365 Business Central makes it easier than ever to find unpaid invoices - in fact, you can do it with just a few clicks.

On your dashboard (home screen) in Business Central, under "Activities" you can see "Overdue sales invoice amount". Click "See more" to view all unpaid invoices.

This will open the "Accounts receivable" window. Here you get an overview of all unpaid invoices that have passed the due date and have not been registered as paid by your accountant.

Basically, all unpaid invoices on the list can be transferred to dunning or debt collection. You just need to make sure that the money hasn't actually been received and therefore the lines in the debtor records just haven't been posted yet.

Select the invoice you want to send for collection and click "View document". Then click "Print/Send" and choose to print the invoice. You now have the invoice as a PDF file that you can use to hand over to your debt collection supplier, lawyer or collection agency.
