Offer template

Many self-employed people need to make an offer to their customers so that both the customer and the business know what to sell, at what price and under what conditions.

For this purpose, it can be a good idea to use a quote template. A quote template helps to create the best framework and conditions when creating a quote.

What is a quote template?

A quote template is a template or frame where the self-employed person can enter all relevant information about a quote.

The quote template helps make the process of submitting a quote easier and also helps to create a consistent framework for submitting quotes so that the quote always looks the same and essential parts are not forgotten.

What are the requirements for a quote template?

There are basically not many requirements for making a quote, and in principle, a quote can be anything from an SMS or email to hundreds of pages of documentation and tender documents for the execution of the work.

However, we recommend that the offer is sufficiently well documented in an offer template so that neither the buyer nor the seller is in doubt about time consumption, material consumption or terms of trade and delivery.

As a rule of thumb, the more complex the task, the better you as a bidder should be when bidding to avoid inconsistencies.

You should also be aware of the provisions of the Danish Contract Act and various laws and regulations on tender documents if the offer is made to public authorities.

Why is it important to use a quote template?

As a self-employed contractor, it can be tempting to send a quick message to the customer with price and terms. However, this approach can lead to confusion and potential inconsistencies further down the line. Using a quote template ensures that all necessary information is included and gives you a professional appearance.

A well-structured quote template helps you avoid misunderstandings as all important aspects such as price, timeframe and terms are clearly defined. This gives both you and the customer a clear picture of what is to be delivered and under what conditions. A template can also save time as you can easily reuse it for multiple customers with small customizations instead of writing new quotes from scratch each time.

How do you create a quote template?

There are many ways to create a quote template and it can, for example, be expanded as the company needs it.

Basically, a quote template should contain:

  • Offeror's information
  • Information of the tender recipient
  • Date of the offer
  • Possible date for acceptance deadline
  • Expected number of hours/material consumption
  • Unit price
  • Total price
  • Any terms and conditions of sale and trade

How to customize a quote template for different types of tasks

Not all jobs are the same, which is why it can be beneficial to customize your quote template depending on the scope of the job. For small jobs, a simple template with basic information may be sufficient, while larger projects often require a more detailed description of materials, time spent and any milestones.

It's a good idea to create multiple versions of your quote template so that you have one template for small jobs where clarity and quick clarification are key, and another for more complex jobs where a deeper review of the job description, price structure and delivery terms is needed. This makes it easier to match your offers to the individual customer's needs.
